What an ATS actually does to your CV

Most of what is written about this is fear dressed up as advice. Here is the part that is true, and the part that is not.

What it is

ATS stands for applicant tracking system — the software an employer uses to receive and manage job applications. Workday, Taleo, Greenhouse, Lever and iCIMS are common ones; in India you will also meet Naukri and Zoho Recruit.

If you have ever applied through a company's own careers page rather than emailing a person, you uploaded into one.

What it does with your CV

It parses your CV into fields — name, email, phone, employers, job titles, dates, education, skills — and stores those in a database. A recruiter then searches and filters on those fields: everyone with a nursing registration, everyone who has written COBOL, everyone who left a job in the last six months.

So the real risk is not being rejected. It is being unfindable — sitting in the database with your employer field empty because the parser could not work out where you had worked.

The scare story, and why it is wrong

You will read that 75% of CVs are rejected by robots before a human sees them. That figure is unsourced, endlessly repeated, and does not describe how these systems work. They are databases with search boxes, not judges.

What is true is duller: if the parser reads your CV badly, the record it stores is thin, and a recruiter searching for what you can actually do will not find you.

What genuinely trips a parser

  • Two columns and sidebars. A parser reads the underlying order of the text, not the columns you see. A sidebar can arrive before the header, putting your name dozens of lines into the document.
  • Tables, text boxes, headers and footers. Some parsers drop them. A phone number in a page footer can vanish entirely.
  • Icons and images. A little envelope glyph is not the word "email", and a photo of text is not text at all.
  • Unusual heading names. "Career Snapshot" and "Employment Record" are perfectly good English and plenty of parsers have never heard of them.
  • Letter-spaced headings. A design that tracks out E X P E R I E N C E hands a parser one character at a time.
  • Scanned PDFs. If you cannot select the text with your mouse, neither can it.

What to do about it

The advice is boring, which is how you know it is not being sold to you:

  • One column.
  • Ordinary heading words — Experience, Education, Skills.
  • Real text, not pictures of text.
  • Dates in a normal format, next to the job they belong to.
  • PDF is fine if it has real text in it. If a portal asks for .docx or plain text, give it what it asks for.

You do not need to buy anything. Every CV this site builds is a single column of real text with standard headings, because that is what works — not as a feature, just as the sensible default.

Two things you can check right now

See what a machine reads. Import your existing CV. Whatever comes back empty is roughly what an ATS would store as empty. It is not a simulation of any particular system, but it is the same job done by the same kind of code, and it is free.

Compare it against an advert. Drop a job advert — PDF, Word or text — into More → Check against a job advert in the builder, or paste it. It lists what the advert asks for and which of those things are findable in your CV — the terms themselves, not a score, so you can see at a glance if it has misread the advert.

One thing worth saying plainly

No tool can tell you whether a keyword you added is true. If a comparison says an advert wants Kubernetes and your CV does not mention it, the useful response is to add it only if you have actually used Kubernetes. A CV stuffed with terms you cannot talk about survives the search and falls apart in the first interview, which is a worse outcome than not being found.
